Administrative Assistant

Job Summary:

  • Performs routine clerical and administrative functions to provide support to the VP of Administration and Human Resources Administrator. Performs work with exceptional attention to detail, strong verbal, and written communication skills, and maintains high degree of confidentiality.
  • Executes a variety of projects simultaneously, with the ability to prioritize workload and meet established deadlines.

Essential Functions:

  • Updates, maintains, organizes, and manages paper and electronic files, shared drives, and communication channels as needed, including TEAMS.
  • Completes date entry as needed, schedules appointments and meetings using company calendars and TEAMS.
  • Prepares or drafts correspondence, memos, reports, presentations, and other documents as needed. Makes necessary revisions after review/approval.
  • Builds data reports and presentations using Excel, Word, and PowerPoint.
  • Assists with the recruitment process; posts job openings on various media outlet sites and manages internal and external posting sites, receives and files job applications and forwards to applicable hiring managers, and schedules interviews.
  • Completes data entry related to employee new-hires, staffing changes, pay reviews and salary increases, and termination paperwork.
  • Maintains personnel files and files paperwork as needed.
  • Conducts or assists with new hire orientation.
  • Assists with benefit plan administration, including enrollments, changes, and terminations. Processes required documentation through insurance providers and payroll to ensure accurate record-keeping and proper deductions.
  • Assists with the scheduling and planning of company events (i.e. company Christmas Party, employee appreciation events, etc.).
  • Maintains the integrity and confidentiality of corporate information, human resource files, records, and employee information.
  • Duties may also include basic level clerical duties.
  • Actively participates in continuous improvement activities.
  • Flexibility in job duties is required as candidate may be asked to help in other departments depending on workload demands.
  • Follows safety rules and regulations in performing work assignments. Maintains a clean and safe work area.

Educational Requirements:

  • Associate’s degree or relevant years of experience required.

Skills/Experience Requirements:

  • Previous experience in an administrative or clerical role.
  • Proficient in Microsoft Office programs including Outlook, Word, Excel, Teams, and PowerPoint.
  • Highly effective verbal and written communication skills.
  • Ability to establish and maintain effective working relationships with all levels of management and employees.
  • Strong knowledge of business English, punctuation, and spelling with a high degree of accuracy.
  • Ability to work independently and to carry out assignments with flexibility to work under changing priorities.
  • Strong organizational and time management skills.
  • Attention to detail and accuracy in completing tasks with a high degree of confidentiality.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to perform repetitive operations such as sitting, standing, and using hands, arms, and fingers to reach, bend, grasp, and type.
  • Ability to perform repetitive motions such as bending, sitting, walking, reaching with hands, grasping, pushing, stooping, and pulling.
  • Ability to lift up to 15 lbs. frequently, and up to 25+ lbs. occasionally with assistance.

Work Environment:

  • Work environment will range from standard office environment to manufacturing shop environment with various noise levels and temperatures ranging from hot to cold depending on seasons.
